PRIVACY NOTICE FOR INSEDO KFT.'S RECRUITMENT ACTIVITIES

1. Description of Data Processing 

Az  INSEDO Education and Services Limited Liability Company (registered seat: Cserhát ltp. 7, 8200 Veszprém, Hungary; hereinafter: the Data Controller) operates a database for the purposes of its own recruitment and selection activity, in which it records, among other things, the personal data of all applicants who karrier@insedo.hu email address, or through the form provided on the website, submit an application for a specific position advertised by the Data Controller, or without a specific advertisement for positions opening in the future (hereinafter: the Application System). This privacy notice (hereinafter: the Notice) sets out the conditions under which applicants' (hereinafter: the Applicant or you) personal data is collected, stored and used in the Application System. Please read the conditions below carefully.

 

Data processing activities carried out in the Application System are performed in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, repealing Directive 95/46/EC (General Data Protection Regulation; hereinafter: GDPR).

 

2. Data Controllers

With regard to the data recorded by you, or concerning you during the selection process, in the Application System, the Data Controller is Insedo Oktatási és Szolgáltató Kft.

3. Personal Data

Applicants enter the Application System by submitting an application for a specific advertised position („Application”).

The Application System contains the personal data you have provided, together with the data the Data Controller assigns to the Applicant during selection, and the data the Application System generates automatically for your account.

 

3.1. Data provided by you

The personal data provided by you and consequently processed may include: your CV and the data contained in it, cover letter (if submitted), name, email address, telephone number, position applied for, date of birth, gender, salary expectations and other requirements, field, level and name of qualification, languages spoken and proficiency level, field of work experience, position level, number of years of experience, preferred field of work, position level and location, and competencies.

Please note that you are responsible for ensuring that all information you provide, or that is contained in your job application concerning you, is accurate. 

 

3.2. Data assigned to your application by the Data Controller

In addition to the personal data you submit to the Application System, further data may be assigned to your application, including additional data communicated or provided during the selection process and the results and evaluations of the selection process. 

 

3.3. Data assigned to your account by the Application System

The Application System assigns the following data to your account: date and time of email transmission, application date/update date.  

 

4. Purpose of data processing

The purpose of processing personal data recorded in the Application System is participation in the selection procedure for a specific position and, for this purpose, establishing and maintaining contact. 

 

5. Legal basis for data processing

The legal basis for data processing is your consent given pursuant to Article 6(1)(a) of the GDPR. By providing your personal data, you expressly and voluntarily consent to the Data Controller processing your data in order for you to participate in the selection process relating to the specific job advertisement, to contact you in the future regarding job opportunities matching your qualifications and experience, and to process your data during the selection process as set out in this Notice. 

 

6. Duration of data processing

6.1. Application for a specific vacancy

If you apply for a specific vacancy, we process your data until the relevant selection process has been completed. The selection process is considered complete when the position has been filled and the probationary period of the person appointed to that position has been successfully completed.

 

6.2. Deletion of data

You may of course request the erasure of your data at any time during the processing period. If you are hired, the Data Controller will continue to process the personal data relating to your application and selection in accordance with the privacy notice applicable at the employer.

 

7. Data Processor

Applications to the Database may, in some cases, be submitted through Google Forms; accordingly, the Data Controller uses the following data processor:

Google Ireland Limited (registered office: Gordon House, Barrow Street, Dublin 4, Ireland)

 

8. Data security and persons authorised to access the data

The Data Controller complies with the requirements relating to the security of personal data and therefore takes all technical and organisational measures and establishes the procedural rules necessary to enforce the data security requirements of the GDPR and the applicable national legislation.

 

Access to a given candidate's data in the Application System is restricted. Only the relevant HR staff and colleagues involved in the selection process may access the data, to the extent necessary for the selection process. 

 

9. Rights relating to data processing and available remedies

If the Data Controller processes personal data concerning you, you have the following rights:

  • Right of access
  • Right to information
  • Right to rectification
  • Right to erasure ('right to be forgotten')
  • Right to restriction of processing
  • Right to data portability
  • Right to withdraw consent
  • Right to legal remedy

 

9.1. Right of access and right to information

At your request we will inform you about your personal data stored in the Application System and its processing, in particular the purpose, legal basis and duration of processing, the legal basis and recipients of any data transfer, any incidents concerning the data, the exercise of data subject rights, the right to lodge a complaint with the Hungarian National Authority for Data Protection and Freedom of Information (NAIH), the source of the personal data, and automated decision-making including profiling. Where data is transferred outside the European Union or the European Economic Area, you will be informed of the appropriate safeguards applied to that transfer. You may request further information about any of this at any of the contact details given in point 8.8. The Data Controller provides written information on the processing of personal data within 30 days of the request being submitted.

 

9.2. Right to rectification

You may request at any time that your personal data processed in the Application System be corrected and that data provided by you (Section 3.1) be updated. Please notify the Data Controller by email without delay, but no later than within 5 days of any change to your personal data processed by the Data Controller. You are liable for any loss incurred by the Data Controller as a result of failure to notify or late notification.

 

9.3. Right to erasure

You have the right to have your personal data erased without undue delay in the cases set out in Article 17 of the GDPR, where the karrier@insedo.hu in an email sent to the contact address provided. 

 

9.4. The right to restriction of processing

You have the right to request that the Data Controller restrict processing where one of the following applies: 

  • You contest the accuracy of the personal data, 
  • The processing is unlawful, 
  • The Data Controller no longer needs the personal data for the purposes of processing, but you require them for the establishment, exercise or defence of legal claims. 

 

9.5. The right to data portability

You have the right to receive the data you have provided to us and which are processed in the Application System in a structured, commonly used and machine-readable format, and you also have the right to transmit those data to another data controller or request the direct transmission of the personal data between data controllers.

 

9.6. Right to withdraw consent

You have the right to withdraw your consent to data processing at any time, as the processing is based on your consent; however, this does not affect the lawfulness of processing carried out on the basis of consent before its withdrawal. You may withdraw your consent by sending a statement to the postal or email addresses specified in Section 8.8.

 

9.7. Right to legal remedy

Regarding the processing of your personal data recorded in the Application System, you may lodge a complaint with the Hungarian National Authority for Data Protection and Freedom of Information (address: Falk Miksa utca 9-11, 1055 Budapest; postal address: PO Box 603, 1374 Budapest; telephone: +36-1-391-1400; fax: +36-1-391-1410; email: ugyfelszolgalat@naih.hu), or you may turn to the courts under the rules of the GDPR.
